Digital Archiving and Preservation Policy
LOCUS JOURNAL OF ACADEMIC LITERATURE REVIEW
Digital Archiving and Preservation Policy
Supporting the continuity, accessibility, authenticity, and integrity of the scholarly record.
Locus Journal of Academic Literature Review (JALR) recognizes the importance of safeguarding scholarly publications against accidental loss, technical failure, unauthorized alteration, and changes in digital platforms. This policy establishes the journal's approach to maintaining its publication records and developing reliable long-term digital preservation arrangements. It applies to published articles, accompanying metadata, editorial notices, and supplementary material hosted or maintained by the journal.
Preservation Principles
The journal distinguishes online access (availability on its website), backup and recovery (restoration after data loss), and long-term preservation (continued accessibility beyond individual servers or publishing platforms). These are complementary functions; website availability and routine backups alone do not constitute independent long-term preservation.
01. Scope of Archived Materials
The journal seeks to maintain the authoritative published version of each article, including its PDF or other published formats, bibliographic metadata, DOI information where assigned, licensing statements, and notices of correction, expression of concern, or retraction. Supplementary files and associated records are retained where available and appropriate, taking account of privacy, confidentiality, copyright, and legitimate access restrictions.
02. Hosting, Backup, and Recovery
The publisher is responsible for establishing and documenting a backup and recovery procedure for the journal's OJS application, database, and uploaded publication files. The operational procedure should specify backup frequency, protected storage location, responsible personnel, access restrictions, retention period, and periodic restoration testing. Backups should be stored separately from the production environment wherever feasible. The journal does not represent an unverified backup schedule or recovery-time guarantee as an existing service.
03. Long-term Preservation Arrangements
JALR aims to establish an independently verifiable preservation arrangement through an appropriate preservation network, institutional repository, or trusted archival service, subject to technical eligibility and the publisher's implementation capacity. Participation in PKP Preservation Network (PKP PN), LOCKSS, CLOCKSS, or any other service will be stated publicly only after actual enrollment and verification. Until such participation is confirmed, this policy should not be interpreted as a claim of membership or guaranteed third-party preservation.
04. Persistent Identification and Metadata
The journal maintains accurate bibliographic metadata and DOI links for articles to which DOIs have been assigned. Editors and production personnel should check that article titles, author names, publication dates, volume and issue details, references, and license information correspond with the published files and registered metadata. A DOI supports persistent identification and discovery; it does not independently preserve the article's full text.
05. Author Self-archiving and Repository Deposit
Authors may deposit and share the published version of their articles in institutional, disciplinary, or other lawful repositories without a journal-imposed embargo, subject to the applicable article license and third-party material restrictions. Deposited copies should acknowledge first publication in JALR, include the article DOI or permanent journal URL where available, and identify the Creative Commons Attribution-ShareAlike 4.0 International (CC BY-SA 4.0) license when applicable. Authors should ensure that repository records remain consistent with later corrections or retraction notices.
06. Integrity of the Published Record
Published articles should not be silently replaced or altered in ways that obscure the scholarly record. Material post-publication changes are handled under the journal's Corrections, Retractions and Expressions of Concern Policy. Relevant notices should remain discoverable and linked to the affected article, with corresponding metadata updated when technically possible. Retraction generally does not mean deletion of the article from the scholarly record.
07. Continuity and Platform Changes
If the journal changes its publishing platform, hosting provider, URL structure, or publisher, the editorial office should plan secure transfer of publication files and metadata, verify the integrity of transferred records, and maintain redirects or updated DOI landing pages where practicable. In the event of journal discontinuation, the publisher should seek a suitable arrangement for continued lawful access to previously published scholarly content.
08. Responsibilities and Review
The publisher and journal management oversee preservation arrangements and infrastructure decisions. The Managing Editor coordinates documentation and checks the accessibility and consistency of publication records, while designated technical personnel administer backup, recovery, and system security. The policy and its operational implementation should be reviewed periodically, particularly when infrastructure or preservation arrangements change.
